Pre-Advise Hundreds of Containers in Seconds
Booking Buddy automates the entire container pre-advise process for Navis N4 terminals at South African Transnet ports. Upload a CSV, hit run, and walk away. Every container is pre-advised correctly — including carrier mode set to Truck — without you touching the terminal UI.
What is Container Pre-Advising?
Container pre-advising (also written as pre-advise or preadvise) is the mandatory process by which a transporter, haulier, or freight forwarder registers a container with a terminal's operating system before the container physically arrives at the terminal gate.
In South Africa, all Transnet container terminals run Navis N4 — and pre-advising is performed through the Navis N4 web portal. The terminal uses this pre-advise record to verify that the container is expected, that the booking is valid, and that the correct vessel and slot are assigned before allowing gate-in.
A complete pre-advise record requires specific data fields. If any field is missing, incorrect, or mismatched against the terminal's records, the pre-advise will be rejected — and so will the container at the gate.
Required pre-advise fields
| Field | Example | Note |
|---|---|---|
| Container Number | MSCU1234567 | ISO 6346 format, validated automatically |
| Booking Reference | BK-2024-9912 | Shipping line booking number |
| Vessel / Voyage | EVER GIVEN / 042W | Must match Navis N4 vessel schedule |
| Carrier Mode | Truck | Always 'Truck' — set automatically by Booking Buddy |
| Gate-In Date | 2024-12-15 | Within the booking window |
| ISO Type | 22G1 | Container type code — auto-mapped from your CSV |
Why Pre-Advising Matters
A bad pre-advise is not just an administrative inconvenience — it creates direct financial costs and supply chain delays. Here's what happens when pre-advising goes wrong.
Gate Rejection
A container arriving at the terminal without a valid pre-advise record will be turned away at the gate — no exceptions. The truck makes a wasted trip, the container returns to the depot, and the clock keeps running.
Demurrage Charges
Every day a container sits at the depot past its free-day allowance incurs demurrage. A gate rejection caused by a missing or incorrect pre-advise can trigger demurrage charges that far exceed the freight cost.
Missed Vessel Cut-Off
Terminals have strict vessel cut-off windows. If a pre-advise isn't submitted in time — or is submitted with incorrect data that requires a rebook — the cargo can roll to the next sailing, often a week or more away.
Cargo Rolling
When cargo rolls, it has cascading effects: demurrage at origin, premium re-booking costs, unhappy consignees, and potential penalties under incoterms or buyer contracts.
Manual vs Automated Pre-Advising
| Aspect | Manual | Booking Buddy |
|---|---|---|
| Time per container | 10–20 minutes | ~2 seconds |
| Error rate | Human transcription errors common | Validated before submission |
| Carrier Mode field | Must be set manually each time | Always set to Truck automatically |
| 200-container run | 4–8 hours of work | Under 10 minutes |
| After-hours processing | Not possible without staff | Runs unattended at any time |
| Audit trail | Manual logs, often incomplete | Every submission timestamped and exportable |
Bulk Pre-Advise with CSV
Booking Buddy's CSV import feature is the fastest way to pre-advise a large batch of containers. Export your container list from your TMS, freight system, or shipping line portal — or build it in Excel — and drop it into Booking Buddy.
The software auto-maps common column headers (CONTAINER_ID, BOOKING_REF, VESSEL, GATE_DATE) and validates every row before submission. Bad rows are flagged and isolated — the rest proceed without interruption.
Carrier Mode is always set to Truck automatically — a field that is required by Navis N4 and is often the source of rejections when set manually under time pressure. With Booking Buddy, it is never wrong.
Supported import formats
- CSV (comma, semicolon, pipe delimiter)
- Excel-pasted plain text
- Direct paste of container number list
- Auto-detection of column order — no template required
